Five practices
E-signing and client records, by practice.
Pick your practice: what each one signs, and what it keeps beside it.
Attorneys: engagement letters, mandates and matter files
When a matter changes hands, the file goes with it.
When the other side asks which version was signed, send them the sealed file and let them check it.
Send new clients one onboarding link: their details, the documents you ask for and the engagement letter to sign. Keep each client’s documents in the matter’s Library collection, dated, beside the mandate. Checking them stays part of your own process.
A matter changes hands. The next attorney opens one collection: the mandate, the executed agreement, the closing letter, and the sworn statement marked as wet ink.
Accountants: engagement letters for accounting and tax services
Re-sign every engagement letter in January from one template.
Save your engagement letter’s fields and signing roles once, then reuse it for each client. File the signed letter beside the authority to act and the approved statement, so the next person can follow the year without an email thread.

Brokers: signed mandates and records of advice
A yes on the phone is not a signed mandate.
Send the mandate, see that it is still outstanding and send a reminder. File the signed copy beside the disclosure, the record of advice and the policy schedule.
At renewal, the next broker opens the collection and finds what the client agreed to.
How signing reminders work →The mandate is still waiting for Lindiwe’s signature.
NDAs and commercial agreements, signed and kept together
Sign while the deal is warm.
Reuse your standard NDA, or start from KuduDoc’s NDA template. Keep the agreed purpose, the scope of work and later amendments in one collection, so the next conversation starts from the record.
Before you share another document, read the NDA’s permitted use beside the scope of work and its amendment. Whether the disclosure is allowed is still your call.

Ask · on every plan
Ask where the agreement says it.
Ask a question of a signed agreement. The answer cites the clause it came from, so you can open it and read the wording. AI can misread a document, so read the source before you rely on it.
How Ask works →Thirty days, in writing. Either party may end the engagement on 30 days’ written notice to the other; fees for work done until then stay payable.
Source · clause 7.2, page 3
6. Fees. 6.1 Fees are charged at the hourly rates in schedule A and invoiced monthly.
7. Ending the engagement. 7.1 The engagement runs until the matter is concluded or it is ended under 7.2.
7.2 Either party may end this engagement on thirty (30) days’ written notice to the other. Fees for work done up to the end of the notice period remain payable.
7.3 When the engagement ends, the firm returns the client’s original documents and keeps copies for its records.

Before you start
Questions from attorneys, accountants and brokers.
Yes. Anyone can compare a file with its seal record at the public checker, free. Ask them to check the file itself, not a seal id printed on a page: a printed id can be copied onto any document.
Keep the sealed file with its signing record. Comparing the exact file with its seal record shows whether it has changed since sealing. That is a fact about the file’s bytes: it does not show that what the document says is true, or settle a dispute about consent or authority.
Wills, bills of exchange and cheques, sales or other alienations of land, and leases of land over 20 years stay on paper. KuduDoc checks each document before it is sent and won’t send one it recognises as any of them. KuduDoc points antenuptial contracts and notarial deeds to a notary. KuduDoc will not send a suretyship for electronic signature. A sworn statement still needs the oath taken in person. Sign those in ink; you can still seal the scan and keep it beside the paper original.
Yes. Share a request link with the client: what they upload lands in your Library, and you file it in the matter’s collection beside the mandate and the engagement letter. The date it arrived stays with it, so whoever picks up the matter can see when the documents came in.
Yes. Keep each client’s signed mandate, disclosure, record of advice and policy schedule in one collection, with the signing record for anything signed here. When the client calls about a claim, the advice you gave is filed beside the policy it led to.
On Professional, you send each client’s letter from the same saved template.
For signed documents and client records, yes. Keep each matter in its own collection with the mandate, agreements, client documents and letters, search across them, and set reminders on the dates that matter.
